Overview //
Microsoft SharePoint is experiencing rapid adoption across all industry sectors and is being deployed at the departmental and enterprise level. Obtaining visibility and control of information assets across sites, farms and domains is a challenge many organizations face today.
eB for SharePoint, in combination with Microsoft Office SharePoint Server 2007, enables CIOs and Compliance Officers to define and enforce a SharePoint governance and compliance policy through the identification, classification and management of information stored in SharePoint sites across the enterprise, and to do it in a way that does not compromise the ease-of-use and collaboration that makes Microsoft SharePoint so attractive.
Through site governance, unique information modeling and advanced records management, eB for SharePoint enables enterprises to prove compliance, provide proper governance, make informed decisions, and comply with regulations and legal discovery.
Business Values
"One of the key limitations of MOSS records management is that it is not possible to declare records and check that declaration against multiple MOSS server installations due to the lack of server replication.
This architectural limitation has implications for legal and regulatory record keeping."
- Gartner™
The rapid adoption of Microsoft SharePoint is a great advantage to CIOs, information architects and compliance officers because it empowers end-users to organize and structure information into a common shared repository – information that before could only be discovered by scouring individual desktops – making it easier for corporate officers to search and locate information assets that are important to company operations and legal discovery.
SharePoint usage is now growing so fast that CIOs are increasingly concerned because they don't have the necessary visibility or control of the sites and information assets to mitigate compliance-related business risk for the company.
It is their responsibility to define and enforce information policies, and in order to do so, they need visibility and control into:
- What is being discussed, produced, and shared
- Whether information is sensitive, confidential, and secure
- If it is accurate and can be trusted to support business decisions, regulatory compliance, and legal discovery
- Ultimately if the information should be governed by corporate policy and recorded
For compliance purposes, it is critical to have clearly defined and classified information. Organizations need to be able to provide compliance officers and auditors with evidence that their information policies are being followed and that the information can be trusted. eB for SharePoint, in combination with Microsoft Office SharePoint Server:
- Ensures information quality that results in improved operational efficiency
- Lowers business and compliance risk by centralizing records management
- Improves information security, visibility and access – eliminating information silos

Applications
The eB for SharePoint EIM solution is built upon three major categories of functionality.
1. SharePoint Server Site Governance
eB for SharePoint provides the ability to catalog, classify, and relate SharePoint sites to the Enterprise information they underwrite in order to provide context, relevance, audit , search, and reporting.
With eB for SharePoint you can discover, classify, and organize SharePoint sites in as many ways as needed to support enterprise information management requirements. Existing sites can be registered with eB for SharePoint for corporate visibility and a SharePoint site architect or administrator can establish site provisioning rules for new sites that are compliant with established information governance policy.
Through the eB for SharePoint administrator's dashboard you can produce a variety of reports that show all discovered sites, registered and unregistered sites, as well as registered documents and their status.
eB for SharePoint makes it possible to support provisioning wizards
2. Information Modeling, Classification and Relevance
eB for SharePoint provides a powerful information modeling capability that allows organizations to quickly and easily structure and organize their enterprise information assets. eB's predefined, ready-to-use information objects provide a rich model for classifying information and establishing relationships between relevant objects, ensuring the integrity of controlled information by uniquely managing its connectivity to all other relevant information.
Using eB for SharePoint, it is easy to see who is responsible for information, what the information describes, where it is located (on a single site or multiple sites) and what it is related to.
eB for SharePoint can automatically classify and assign attributes to a document or empower end-users to manually register (identify and classify) the document directly from the SharePoint user interface. Users can browse other registered information assets which they have the proper permission levels to access.
3. Information Control/Records Management
eB for SharePoint ensures information integrity through a robust, built-in change management capability that manages the information assets and their relevant relationships through an automated best practice process that identifies the effects of change and manages the workflow for approvals, notifications, releases, distributions, and accountability of changes that occur enterprise-wide across multiple SharePoint sites/farms.
eB for SharePoint provides a powerful, centralized records management capability for registered sites and documents that automates the disposition (retention and destruction) and archiving process in order to adhere to corporate governance policies.
Registered information objects can be physically stored in the SharePoint libraries, in multiple SharePoint sites, moved to the eB repository or archived to secondary storage. eB for SharePoint registered documents can also be published to other SharePoint sites.
